IT Asset Management & Lifecycle – Multi-Location Organization

The Challenge:

A traffic management products company with 6 locations and 280 endpoints (laptops, desktops, tablets) tracked IT assets in spreadsheets with 22% inventory accuracy. Asset locations were unknown, refresh cycles were inconsistent (3-7 years), and retirement procedures were informal creating data security risks. Software license compliance was manual with estimated $125K exposure from over/under-licensing, and hardware support contract renewals were missed causing expensive one-off repairs.

The Solution:

Implemented Dynamics 365 Asset Management integrated with Microsoft Intune and Azure AD pulling device inventory automatically to Fabric. Power Apps asset tracking with barcode scanning for physical assets and automated software license reconciliation. Power Automate triggered workflows for refresh eligibility, support contract renewals, and secure retirement procedures. Azure AI optimized refresh timing based on reliability data, total cost of ownership, and user productivity impact. Power BI dashboards tracked asset inventory, lifecycle status, warranty coverage, license compliance, and refresh budget forecasting.

Result:

Asset inventory accuracy improved from 78% to 98% enabling better planning and cost control, refresh cycles standardized at 4 years with predictable budgeting versus reactive purchases, and secure retirement procedures eliminated data breach risk (previously 8 devices annually retired without proper data sanitization). Software license optimization saved $95K annually through right-sizing, and support contract management prevented $45K in out-of-warranty repair costs. Total asset management efficiency improved saving 25 hours monthly.
